The type of personal information we collect


We currently collect and process the following information:
Client Name, Address, Date of Birth, Email address, Phone Numbers, GP Details, Running and Movement History.
All information is given be the patient or their carer, parent or legal guardian. 


How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
• For booking services:
Whether booking over the phone with one of The Kent Running Coach Coaches or online directly through The Kent Running Coach website Client contact details, appointment information and billing information is stored within the Wix Website through Wix.com's data storage, databases and the general Wix.com applications. Your data is stored on secure servers behind a firewall.data.
• For appointment reminders:
Appointment reminders will be sent. The personal information, such as your name and email address, you provided during the booking process will be used to process these. You may opt out of receiving these at any time via email.
• Contact US:
As part of the process when using the Contact US form on our website to enquire about any of our products and services we collect personal information you give us such as your name, address, telephone number and email address. Your personal information will be used for this purpose only.
• Subscribing to The Kent Running Coach Newsletter:
When subscribing to our Newsletter we collect personal information you give us such as your name and email address. You have the right to opt out at any time and will be provided the opportunity to do so with every newsletter published. Your personal information will be used for this purpose only. We use the information that you have given us in order to provide you with the
best possible service.


Data Storage and Disposal
The criteria used to determine the period of storage of personal data is the respective statutory retention period. After expiration of that period, the corresponding data is routinely deleted, as long as it is no longer necessary for the fulfilment of the contract or the initiation 

 

Consent
We process your data using the lawful basis of consent for marketing, and fulfilment of contract and legitimate interest for processing your records and sending you information and exercises relating to your training. Parents must give consent for communication with children under 16 years.


Data Sharing
Data sharing only takes place with your express permission. Without this information is never shared with other professionals, persons or companies.


Data Checks
Data checks are carried out yearly to make sure our records are accurate. Any requests made for changes to your personal data will be made immediately.


Data Security
Access to records is restricted to The Kent Running Coach coaches and admin staff only who have signed a confidentiality agreement. All electronic data is password protected and access to information is restricted. Systems are kept updated with antivirus security systems in place. Any data breaches will be investigated and reported to the Information Commissioner’s Office within 72 hours by the appointed person. Clients will be informed if we believe a data breach has occurred.

Subject Access Requests
All staff know that subject access requests must be responded to within a month and no charge can be made.


Data is only released on receipt of a signed request from patients or in exceptional circumstances. Any data sharing is detailed in the patient record.

Clients and anyone we hold data about have some rights under GDPR:

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances. 


Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances. 


Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.


You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
